Job Title:                                            Solutions Administration & Finance Manager

Responsible for: Administration Support for Solutions Administration Hub and Financial administration assistance to the Solutions department.

Job Purpose

To manage & organise a team of Administration Coordinators to effectively support the front-line activities of the Solutions department. Leading the team to ensure the department’s performance consistently meets & exceeds agreed SLA’s. To also provide assistance the financial administration of the Solutions department.

  • Provide proactive and reactive support to the company’s Quality Management System including external and internal audits, performance measuring and processes
  • Ensure compliance with all aspects of the Security Industry’s Approved Contractor Scheme (ACS) and other company accreditation
  • Follow company processes

Key Functions

  • Take overall responsibility & ownership for understanding, agreeing & meeting departmental objectives
  • Identifying department priorities to ensure a consistently high level of customer satisfaction both for internal & external customers
  • Understanding of departmental budgets, effectively monitoring spend throughout each financial year
  • Establish a comprehensive knowledge of contract requirements & pricing structure
  • Manage and analyses call volumes, call queues and traffic as necessary
  • Collaborate with other areas of the business to share knowledge, experience, and best practice
  • Attend & contribute to Management meetings as directed, taking ownership for actions assigned & provide updates as required
  • Activity forecasting short, medium, & long term plans, for effectively managing specific work streams (such as customer orders) 
  • Proactively provide departmental information & written reports to key internal stakeholders
  • Carry out investigations or disciplinary/grievance hearings in line with company policy where necessary
  • Effective internal and external communication and negotiation skills to enhance existing, or create new, business relationships & opportunities.
  • Propose innovative ideas & suggestions for continuous improvement
  • Facilitate the resolution of any departmental or service issues
  • Effective recruitment of relevant calibre of staff within company procedures & legal framework, participating in interviews and selection process
  • Leadership, supervision & staff evaluation through regular appraisals against targets and objectives, correcting under performance as necessary
  • Assistance with monthly management accounts and statutory accounts prep for Solutions, including reconciliation of control accounts
  • Assistance with the credit control process ensuring debts and purchase orders are chased effectively and efficiently, whilst ensuring that the sales invoice runs from internal sources are delivered accurately and in accordance with the management account timeline
  • Responsible for review of financial processes and systems, to identify development opportunities, and subsequent improvement implementation
  • Preparing monthly KPI’s to analyse both departmental and company performance, taking appropriate actions to ensure that performance is optimized
  • General financial tasks and involvement in project work as required

Required Skills and Abilities

  • Ability to work independently or collaborate with a team or peers for internal/external clients
  • Experienced in successfully leading, managing & developing a team of different personalities
  • Ability to self-motivate to complete planned tasks with minimal supervision
  • Analytical mind for agreeing, monitoring and exceeding departmental KPI’s
  • Working knowledge of Microsoft Office packages
  • Excellent persuasion and influencing skills to an audience at all levels
  • A keen eye for detail, spotting potential issues and areas for improvement and developing innovative solutions
  • The ability to prioritise tasks in a busy and ever-changing environment
  • A calm and rational nature to understand the bigger picture while still listening & understanding others’ views and opinions
  • Experience working in a similar type of role/industry.
  • Understanding of budget requirements
  • Knowledge of KPI reporting with understanding of impact
  • Ability to build solid relationships with internal & external clients
